Resume PDF vs Word: which file should you send?

The resume is done, the upload button is waiting, and you have both a PDF and a Word file ready to go. Sending the wrong one feels like it could cost you the application. On resume PDF vs Word, the short answer is this: do what the application says, and send a PDF when it says nothing.

Should I submit my resume as PDF or Word? Start with the instructions

If the posting, the form or the recruiter asks for a particular format, send that one. Ignoring an explicit instruction is a worse signal than any formatting choice you could make.

Some upload forms accept only one file type. If the form says “Word document” or lists .docx as the only option, the decision has already been made for you.

Resume PDF vs Word: send the PDF when nobody has said

With no instruction, a PDF is the safer default. It looks the same on every screen and printer, so the layout arrives the way you made it. That's why it's the usual choice for uploads and email. Pick it when:

  • You're uploading to a job board or company site that accepts either format.
  • You're emailing a hiring manager directly, and they'll simply read it.
  • Layout matters, because a Word file can shift on a computer with different fonts or a different version of Word.

Word wins when someone else has to edit your resume

Word (DOCX) is easy to edit, which is exactly why some recruiters ask for it: they add their own branding or remove your contact details before sharing it. Use .docx rather than the older .doc.

  • A recruitment agency asks for it. Agencies often reformat resumes before sending them to clients.
  • Someone else will need to edit it, such as a referral contact tidying it up for a hiring manager.

Paste boxes and email bodies want plain text

Use plain text for forms that give you a box to paste into instead of an upload button, and for a resume in the body of an email.

Test your file before you trust it

Open the file, select all the text and paste it into a plain text editor. If it comes out as words in a sensible order, a parser can read it.

If nothing pastes, or the text comes out jumbled, the file has a problem. Usually it's a scanned image instead of text, or a layout of columns and text boxes. While you're at it, give the file a name that identifies you, not resume_final_v3.pdf.

CVMagnet gives you every format from one tailored resume

Every tailored resume in CVMagnet can be downloaded as PDF, Word and plain text, so whatever the application asks for, you already have it. All three come from the same tailored resume, so the content matches whichever one you send.

Downloads are named after you, like Jane_Doe_Resume.pdf and Jane_Doe_Resume.docx, so nothing needs renaming before you attach them.

Questions

Frequently asked.

Do applicant tracking systems read PDF resumes?

Modern applicant tracking systems generally read text-based PDFs, so a PDF is a safe choice as long as its text is real text. CVMagnet's PDFs keep all their text in a readable layer, and an automated test checks this on every template. They're also single column, with no layout tables.

Will my resume look different in Word than in the PDF?

The section order won't. CVMagnet builds both files from the same template, and an automated test checks that every template runs its sections in the same order in each. Fonts can differ: a Word file names its font and relies on the reader's computer having it, so Word may swap in a similar face for Inter. The PDFs embed Carlito for Calibri and Caladea for Cambria.

Can I download my resume as a Word file on the free plan?

Yes. PDF, Word and plain text downloads are available on every CVMagnet plan, including the free one. You aren't locked into one format, so you can attach the PDF to one application and send the Word file to the recruiter who asked for it.
